How to Connect Mailchimp to Salesforce

Mailchimp connects to Salesforce through an integration, not an export. Integrations set up before May 1, 2024 used the legacy AppExchange package; integrations set up after that date use the Salesforce Integration by Beaufort 12. The edition, the Mailchimp role, and the sync settings decide what actually flows.

Which integration you are setting up

The date decides the package. Mailchimp's help article covers integrations set up before May 1, 2024, which used the legacy integration; customers setting up after May 1, 2024 use the Salesforce Integration by Beaufort 12, installed from the integration detail page. Existing legacy customers keep the legacy AppExchange link only through Mailchimp Support. Do not follow a pre-May-2024 walkthrough for a new setup — the package, the install path, and the sync behavior differ.

Requirements before installing

Requirement What the help page states
Salesforce edition Enterprise, Unlimited, Force.com, Developer, Performance, or Professional. Professional requires API access enabled
Mailchimp role The connecting Mailchimp user needs Manager access or higher
Account pairing A single Mailchimp account per Salesforce account
Trailblazer.me account Needed as part of the setup
Campaign visibility Only Regular Email and RSS campaigns appear in the integration's campaign view
Install location Install in production. Sandbox data will not sync properly, and the integration must be installed for all users

The setup, step by step

  1. Install the integration from the integration detail page (Beaufort 12 package for new setups).
  2. Authenticate both sides and connect the Mailchimp account to the Salesforce org.
  3. Set the lead-creation toggle for how Salesforce records become Mailchimp contacts.
  4. Map fields. Premium accounts map up to 80 fields; map the fields the sync actually needs rather than every field available, because unmapped data does not flow and over-mapped data flows noise.
  5. Assign permission sets. Mailchimp Users get the view permission set; Admins get view plus the Query Builder permission set.
  6. Choose the sync setting. Keep Activity syncs contacts, segments, and campaign activity (opens, clicks, sends). Sync Subscribers Only syncs audience and group data without campaign activity. Pick Keep Activity only if the Salesforce side will use campaign activity; otherwise the daily activity sync is volume without a reader.
  7. Turn data sync on. With sync on, new contacts and segments flow hourly and campaign activity flows daily at midnight. The initial sync may take hours — do not re-run the install because the first sync looks empty.

What does not sync, and what to check

Sandbox data does not sync properly — test in a way that does not depend on sandbox records appearing. Campaign types outside Regular Email and RSS do not appear in the integration view. If contacts sync but activity does not, the sync setting is the first check: Sync Subscribers Only is the usual cause. If nothing syncs, check the edition's API access (Professional), the Mailchimp user's role (Manager or higher), and whether the install was done for all users.
