How Do You Check Your U.S. Passport Application Status?
Four stages, one tracking number that only appears at the Mailed stage, and a 2-week in-transit gap that looks like a problem and usually is not. Here is how the check works.
The status check in one table
| Where | Online Passport Status System on the State Department status page | | Manual check needs | Last name (with suffixes, trying hyphen and apostrophe variants), date of birth (MM/DD/YYYY), and the last 4 digits of the Social Security number | | Email updates | Sent if an email was given on the application. Change the email anytime. Unsubscribe through the link in the emails | | Stage 1 | In Process. The application is being reviewed | | Stage 2 | Approved. Review is finished and printing of the passport is beginning. If the status changes back to In Process after Approved, a problem found in final review is being fixed with a new print | | Stage 3 | Mailed. The passport is being sent to the application address. The book arrives by a delivery service with tracking, the card by First Class Mail. This is the only update carrying book tracking information | | Stage 4 | Supporting documents sent by First Class Mail, up to 4 weeks after the passport book or card | | More information needed | A letter or email asking for more information puts the application on hold. Respond within 90 days of the letter or email date |
What makes status checking different
The status page names four stages, and the names matter because each stage carries a different action. In Process means wait, with one exception: more than 2 weeks with payment processed and no status means a possible application error, and the number to dial is 877-487-2778. Mailed means the book tracking number finally exists, and only at that stage. Supporting documents travel separately and later, so a delivered passport with no documents back is normal for up to 4 weeks.
The second difference is the in-transit gap. USPS tracking can show delivered before the State has the application. The pipeline runs from a mail sorting facility to an intake facility, where payment is processed and details are entered, to an agency or center, where a specialist reviews. Up to 2 weeks to In Process is normal. Over 2 weeks with payment not processed likely means the application has not been received: mailed renewals check USPS tracking and contact USPS, and acceptance-facility applicants contact the facility.
If the status is not available
Technical trouble is the first branch. Routine maintenance or a brief issue means trying again in several hours. A "site cannot be reached" error on the status system means changing the connection (a wireless network, mobile data, or an Ethernet cable) and trying a different browser, phone, or computer.
Name trouble is the second branch. The spelling entered must match the application, suffixes included, with hyphen variants tried: Jackson-Smith, Jackson Smith, and JacksonSmith. If nothing resolves, a data error on the application may be blocking the status, and 877-487-2778 is the number to resolve it.
A returned application is the third branch. A renewal application missing the passport, signature, or payment comes back in 1 to 2 weeks after delivery to the processing facility, to correct and resubmit. More-information responses go to the full mailing address in Sterling, Virginia, listed on the letter, not to the agency's physical address.
Locator numbers, third parties, and urgent cases
The first 2 digits of the 9-digit application locator number tell which agency or center is reviewing the application: 11 New York, 50 Los Angeles, 51 Miami, 96 Online Passport Renewal, and 80 Special Issuance, among others. Cite it when an already-applied case becomes urgent and needs an agency appointment.
Websites ending in .com, .org, or .us that look official are private companies, not the Department of State. They may charge fees for free services and confuse applicants into thinking they applied. The State cannot intervene in disputes with them. A registered courier company does not get a passport any faster than applying at a passport agency.
A status can read Mailed for a re-application within 180 days, such as a Form DS-5504 case. A DS-5504 status can take up to 2 weeks to show In Process. A passport mailed but never received uses Form DS-86, a signed statement confirming non-receipt, within 120 days of the issue date. After 120 days, reapply and pay all fees, by law. An address change while waiting goes through 877-487-2778, with an In Care Of name to receive the passport at a different address. Lost supporting-document reimbursement needs contact within 90 days of the passport mailing date, with a receipt.
