How Do You Order a Birth Certificate in Sonoma County?

Sonoma County holds its own birth records, back to 1855, and the county office in Santa Rosa is the office that issues them. Here is the county route, with the fee and the form the county itself publishes.

Sonoma County is the county route for a Sonoma County birth. The California state office handles births statewide, but the county Clerk-Recorder holds the record when the birth happened in Sonoma County, and the county office is the office that issues the copy. The county holds birth certificates for events in Sonoma County from October 14, 1855 to the present. It cannot issue a birth certificate for a birth that occurred someplace other than Sonoma County.

The fee needs a check before you pay

The fee is the one fact on this page that the county documents state two ways. The county birth certificates page and the posted application form both lead with $34.00 per copy effective January 1, 2027, and both show $32.00 per copy alongside it. The form's instructions tell applicants to submit $34.00 for each copy requested. Read together, the documents do not settle which figure applies on a given date before January 1, 2027. Confirm the amount in effect with the office before you mail payment. If no record of the birth is found, the fee is retained for searching the record, as required by law, and the county issues a Certificate of No Public Record.

The county also notes that fees for certified copies of birth, death, and marriage records are suspended for any individual who lost such records in the fires, under the Governor's Proclamation of State Emergency. That suspension covers only records for events that occurred in Sonoma County.

Which copy: authorized or informational

California has two certified copies, and only one proves identity. A certified copy that establishes the identity of the registrant goes only to authorized individuals, as defined by Health and Safety Code section 103526(c). Everyone else receives a certified informational copy, printed with the legend "Informational, Not a Valid Document to Establish Identity." Apart from that legend, both documents contain the exact same information.

For a birth record, the county lists these authorized persons: the registrant, or a parent or legal guardian of the registrant; a party entitled to receive the record as a result of a court order, or an attorney or a licensed adoption agency seeking the record to comply with Family Code sections 3140 or 7603; a member of a law enforcement agency or a representative of another governmental agency, as provided by law, conducting official business; a child, grandparent, grandchild, sibling, spouse, or domestic partner of the registrant; and an attorney representing the registrant or the registrant's estate, or any person or agency empowered by statute or appointed by a court to act on behalf of the registrant or the registrant's estate.

The three ways to order

By mail. Complete the Application for Certified Copy of Birth Record. For a certified copy, complete the sworn statement declaring under penalty of perjury that you are an authorized person, and have your signature acknowledged by a notary public. The county states that if the notarized statement is not included, the application will be rejected as incomplete and returned without being processed. Include the fee as a personal check, postal money order, or bank money order made payable to the Sonoma County Clerk, plus a self-addressed stamped envelope. Mail it to the Vital Records Division at the address in the table above. Complete a separate application form for each record requested. No sworn statement is needed for a certified informational copy.

In person. At the County Clerk's office, sign the sworn statement in the presence of County Clerk staff instead of before a notary, and provide valid photo identification at the time you apply. The office takes no fee transactions and does no document processing within 30 minutes of closing, so arrive earlier than the closing time. The county cannot take payments over the phone.

Online or by phone through VitalChek. Sonoma County has partnered with VitalChek Network, Inc., an independent company, through which an order may be processed. VitalChek can be reached at vitalchek.com or by phone at 1-866-281-1810. All major credit cards are accepted, including American Express, Discover, MasterCard, and Visa. Additional fees are charged by VitalChek for using the service.

Two timing facts matter. The County Clerk receives a birth certificate approximately one month after the birth, so for a very recent birth, contact the office to verify the status of the record before ordering. And if the registrant was adopted, the form directs the request to the state Office of Vital Records in Sacramento, in the adopted name, rather than to the county.
