Export Mailchimp Data to Power BI

There is no current, fully supported Mailchimp connector for Power BI documented in the official pages opened for this guide. Microsoft lists a Mailchimp Beta source for Power BI Report Server with cached data only and no scheduled refresh. The documented official route is the Mailchimp API, read through Power BI, with refresh handled in Power BI.

Start with the connector status

Do not begin by searching Power BI for a Mailchimp connector and assuming the result will refresh. The official status found in the pages opened for this guide is narrow. Microsoft Learn, in its list of data sources for Power BI Report Server, lists Mailchimp (Beta) with cached data supported, and scheduled refresh and live connection marked as not supported for that source. That listing is for Report Server. It is not a promise that a Mailchimp connector will work, or refresh, in Power BI Desktop or the Power BI service in your account.

No Mailchimp help page opened for this guide documents a current Mailchimp to Power BI connector. Third party articles found during research describe the older native connector as deprecated, but those articles are not official vendor documentation, so this guide does not rely on them for steps. The practical result is the same either way: treat a built in Mailchimp connector as unverified in your own Power BI version, and use the API route below as the documented path.

What the Mailchimp API returns

The Mailchimp Marketing API documents two endpoints that matter for Power BI reporting. The Get campaign report endpoint returns report details for a specific sent campaign. Its response fields include the campaign title, subject line, campaign type, send time, emails sent, opens, clicks, bounces, unsubscribes, abuse reports, delivery status, ecommerce stats, and an hourly breakdown of performance over the first 24 hours, where available.

The Get campaign content endpoint returns the HTML and plain text content for a campaign, including the raw HTML, the archive HTML, and the plain text portion. Use the report endpoint for numbers and the content endpoint for the message itself. Neither endpoint returns a ready made Power BI dataset. The JSON they return still has to be shaped in Power BI before it can be charted.

Read the API through the Power BI Web connector

Microsoft Learn documents connecting to a webpage from Power BI Desktop. The documented flow is: in Power BI Desktop, select Get data and then Web from the Home ribbon, enter the URL in the dialog, and select OK. Power BI then shows the available data in the Navigator window. From there, choose Transform Data to shape the data in Power Query Editor before importing, or choose Load to import the selected elements.

The Power Query Web connector documentation adds detail that matters here. It supports connecting to a URL, building a URL from text constants and parameters, and loading web files, including JSON, CSV, and HTML, through the Web connector. It lists authentication types for Web.Contents, including Anonymous, Windows, Basic, Web API, and Organizational Account. That list describes what the connector can support in general. It does not prove that any one of those types will authenticate a Mailchimp API call in your setup. Treat the first load as a test.

Scheduled refresh in Power BI

Power BI documents scheduled refresh for semantic models in the Power BI service. The documented setup is: go to the workspace, select the semantic model, open Schedule refresh, turn on the refresh schedule, select a refresh frequency and time zone, and add the times you want the refresh to occur. Microsoft Learn training material states up to eight daily time slots on shared capacity, or 48 time slots on Power BI Premium. Power BI states that refresh starts on a best effort basis, with a target of starting within 15 minutes of the scheduled slot, and that a delay of up to one hour can occur.

Scheduled refresh is a Power BI feature, not a Mailchimp feature. Some data sources require a gateway to be configurable for refresh, and credentials must be current in the semantic model settings. Power BI deactivates a refresh schedule after four consecutive failures or when it detects an unrecoverable error such as invalid or expired credentials. Because the Mailchimp Beta listing shows no scheduled refresh for Report Server, do not assume the Beta source will refresh. Verify refresh for the actual model you publish, using its refresh history, before telling anyone the dashboard updates itself.

When Power BI is the wrong first step

If you only need a one off table of campaign results, Power BI adds work for little gain. For a JSON copy, see the Mailchimp data to JSON guide. For a spreadsheet copy, see the Mailchimp data to Excel guide. For the full set of destinations, see the Mailchimp exports by destination directory. Choose Power BI when you need repeated comparison across many campaigns in one model, and keep the first model small: one report endpoint, a handful of fields, one successful refresh.

Open flags

The pages opened do not document a current supported Mailchimp connector in Power BI Desktop or the Power BI service, and they do not document the exact credential type to use for a Mailchimp API call through the Web connector. No ODBC route is described here, because no official ODBC documentation was opened for this guide. No plan or permission limit for Power BI or the Mailchimp API is stated in this guide, because none was stated in the official pages opened.
