How Do You Fix a Mailchimp Export With Missing Contacts?

Start by checking what you actually downloaded, because most missing-contact reports trace to the ZIP structure, not to missing data. Status lives in separate files, archived contacts export separately, and opens and clicks are excluded by design. Here are the causes Mailchimp documents, plus the grounded checks that explain the rest.

The causes Mailchimp documents

Mailchimp help documents three troubleshooting topics for contact exports, plus the archived-contacts rule. Each one below states the Mailchimp-documented cause and fix first, then the grounded checks that follow from Mailchimp's own export rules. The grounded checks are labeled as such: they follow from primary statements, but they are not Mailchimp troubleshooting quotes.

Cause 1: strange or unexpected characters in Excel

This is an Excel display issue, not missing data. Mailchimp documents the fix: change the file extension from .csv to .txt, open in Excel, and set the encoding to UTF-8 when prompted. Or open the CSV in a text editor set to UTF-8, copy all content into a blank Excel sheet, and use Text-To-Columns to split it into columns. The contacts are present. The encoding is wrong.

Cause 2: the address field just says US

Mailchimp documents this cause too: physical addresses imported incorrectly, where the import tool inserts US as the default value. The fix is to reformat and re-import the original file per Mailchimp's format guidelines, then run an auto-update import. The export is faithfully reporting the imported data. The import was the problem.

Cause 3: the marketing status of contacts seems missing

Not a missing-data problem. Status lives in the separate file names, not in one combined file. Check all unzipped CSVs. The download is a ZIP with a separate CSV for subscribed, unsubscribed, non-subscribed, and cleaned contacts, and the contact type appears in the file name. A single opened file shows a single status by design.

Cause 4: archived contacts are absent

Archived contacts are exported separately from active contacts. An export containing a single contact type, archived contacts for example, contains only one CSV file, so one file is expected, not an incomplete export. To export archived contacts, go to More options, then Archived contacts, on the Contacts page, and export all archived contacts from there.

Grounded checks, labeled as such

The following checks follow from Mailchimp's own export rules. They are not Mailchimp troubleshooting quotes, but each one is grounded in a primary statement from the help articles.

  • Wrong audience selected. Exports are per audience, and every export procedure starts with the Audience drop-down. Check the drop-down again before exporting, especially with more than one audience.
  • You exported a segment, tag, or group, not the whole audience. By design that export contains only the filtered subset. Run Export audience again for the full list.
  • Export still processing. The primary flow says to expect an email when complete. Until then, check More options, then Export history, rather than assuming failure.
  • Export older than 30 days. Contact exports are available in-account for 30 days only. After that the entry is gone and you must export again. This is the closest primary statement to a download-link expiry for audience exports.
  • No Export audience button, or cannot export. Only Owners and Admins can export audiences. A lower user level is the primary permission cause.
  • Opens and clicks missing. Expected. Contact exports exclude email engagement metrics by design. Export an email report separately.
  • Deleted audience data. Permanently unavailable. Audience deletion is permanent, and Mailchimp does not host deleted audience data. No recovery exists through export.

What Mailchimp does not state, so this guide does not claim

No audience-size cap, no audience-export failure code, and no audience download-link expiry duration was stated in the Mailchimp help read for this guide. A 7-day download-link expiry found in search results belongs to Mailchimp Transactional activity exports, a different product, and is not transferred to audience exports here. The one-export-per-24-hours figure belongs to whole-account exports only, not audience exports. If your export truly fails with an error Mailchimp does not document, the documented path is the export history check above, then Mailchimp support, not a guessed retry rule.

For the export itself, see How to Export a Mailchimp Audience to CSV. For part of the audience, see How to Export a Mailchimp Segment or Tag. For every Mailchimp export method side by side, see the Mailchimp Export Methods by Destination directory.
