How to Share a Mailchimp Campaign Report
Sharing a campaign report is not the same as copying the report page address. Mailchimp requires its sharing tool, because sharing the page address alone will not let others view the report. Viewers receive an email link, sign in to Mailchimp, and see the full report in their browser.
Before you start
Mailchimp frames report sharing as a way to inform colleagues or clients about successful campaigns and to share insights on subscriber engagement. Three limits apply before you begin.
First, you must use the sharing tool. Due to account security, simply sharing the URL to the page will not allow others to view the report. Copying the address from your browser is not a shortcut.
Second, you can only share reports with people who have an active Mailchimp account. If you want to send a report to someone without an active account, you need to send them an invite first.
Third, this feature is not available for SMS or automation reports. If the report you need to share is an automation report, this sharing tool is not the route. See the export a Mailchimp campaign report guide for the export side of campaign reporting.
When you share a report, your viewers will receive an email with a link to the report. After they click the link and sign in to Mailchimp, they will see the full campaign report in their browser.
Share a report with someone who has a Mailchimp account
Follow these steps, which are the steps on the Mailchimp help page for sharing with active account users.
- Click Campaigns.
- If you have more than one audience, click the Audience drop-down and choose the one you want to work with.
- Find the report you want to share, then click View report.
- In the Actions drop-down, choose Share report with your team.
- In the Share report modal, tick Share with active account users.
- Click the drop-down arrow and check one or multiple active Mailchimp account users to share the report with. You will have the option to add a custom message.
- Click Done. You will see a message that confirms that you have successfully shared the report via email.
Share a report with someone who has no Mailchimp account
If the recipient has no active Mailchimp account, you need to send them an invite first. The steps below are the steps on the Mailchimp help page for sharing without an account.
- Click Campaigns.
- If you have more than one audience, click the Audience drop-down and choose the one you want to work with.
- Find the report you want to share, then click View report.
- In the Actions drop-down, choose Share report with your team.
- In the Share report modal, tick Invite new user to share and click Next.
- Type the recipient's Email address, then choose the recipient's Access level by clicking the Select a user type drop-down. You will have the option to add a custom message.
- Click Invite. You will see a message that confirms that the invite was successful. The recipient will have 7 days to accept the invitation before it expires.
Mailchimp states that, once the invite succeeds, it will share a link to the report in an email to the report viewers. If you want to change who has access to the report, you can always add more viewers or revoke access. Choose the access level with care at the invite step, because the invite creates account access, not only a link to one report. The help page opened does not list what each user type can do, so check the user type descriptions in your own account before choosing.
The 7 day limit is the detail most often missed. If the recipient does not accept within 7 days, the invitation expires. Send the invite when the recipient is ready to act on it.
Sharing the campaign itself is a different action
Do not confuse sharing a report with sharing the campaign page. They are separate Mailchimp features, with separate help pages.
A sent campaign also has a browser based copy you can share around the web. For each audience, Mailchimp compiles links to the campaigns sent to that audience on an email campaign archive page. That archive page is a free, shareable landing page that displays links to the audience's 20 most recent campaigns. For A/B testing and multivariate campaigns, the archive page includes a link to the winning combination.
To find the archive page URL, Mailchimp documents these steps: click Forms, then click Settings; click Edit to the right of All system forms; if you have more than one audience, click the Audience drop-down and choose the one you want to work with; click the Forms and response emails drop-down, and choose Campaign archive page; under the Campaign archive page URL heading, copy the URL; paste the URL into your web browser to view the archive. Share the archive URL with anyone you want, or post it online.
For a single sent campaign, the route is different again. For a regular, RSS, or plain text campaign, click Campaigns, click the campaign, click the Edit drop-down menu, and choose View email. To share the campaign, copy the URL from your web browser's address bar. If you have the Archive Bar enabled, RSS and plain text campaigns include a Share option where you can grab the shortened URL for the campaign.
Use the report sharing tool when the reader needs the numbers. Use the campaign page or archive page when the reader needs to see the message itself.
What is not documented here
The help pages opened do not document a PDF or print export for a campaign report, or emailing a report file as an attachment. This guide does not claim those options exist. For the full set of export destinations, see the Mailchimp exports by destination directory.
Open flags
No PDF, print, or attachment option for sharing a report was documented in the official pages opened. The access levels available in the invite drop-down were not listed in the text opened, so this guide does not name them. No plan limit for report sharing is stated in the pages opened.
