Export Your Mailchimp List: The No-Loss Migration Checklist

The Mailchimp export checklist: the audience export, the full account backup, the three files that matter, and what the export does not include.

Export Your Mailchimp List: The No-Loss Migration Checklist

I learned this the hard way. Moving a list is not the hard part — the import takes an afternoon. The hard part is the export, because what you don't export is what you lose, and you don't find out until months later when a segment you never backed up is the one you need. My rule now: full export first, while the account is still live. Cancel nothing until the export is downloaded, opened, and spot-checked.

This page is the export checklist I wish I'd had. Nothing here is platform-marketing copy — the steps are the current Mailchimp export flow as documented in Mailchimp's own help center (steps verified against mailchimp.com/help, October 10, 2026).

The two exports (do both)

1. Audience export — the list itself. In Mailchimp: open Audience, select the audience, click Export audience, then Export CSV in the "Export all contacts?" pop-up. Mailchimp builds the export in the background and emails you a download link when it's ready. Contact exports stay available in your account for 30 days. The download is a ZIP with separate CSVs per contact status — subscribed, unsubscribed, nonsubscribed (per a Mailchimp migration guide published ~47 days ago). Fix problems in Mailchimp and re-export rather than editing the CSV by hand; test the import with a handful of subscribers before the full list.

2. Full account backup — everything around the list. Profile icon → Account → Settings → Manage my data → select data types → Export Data (per Mailchimp's own export-and-backup help page). This produces a CSV of campaign emails plus a campaigns_content folder (HTML and TXT of every campaign), audience folders (subscribed / unsubscribed / cleaned / transactional), report folders, and a templates folder.

The three files that matter

  • subscribed — the list you're migrating.
  • unsubscribed — export it even though you're not importing it. It's an industry best practice (and a compliance habit) to carry your unsubscribes into the new system so nobody who opted out starts getting mail again (per a migration knowledge base, crawled hours ago).
  • cleaned — Mailchimp's word for hard-bounced addresses. Export the segment too: Audience → Segments → Create Segment → Email Subscription Status = Cleaned → Export Segment → Export CSV (per a Mailchimp tutorial published ~25 days ago, and the same segment-export flow in Constant Contact's migration knowledge base). You don't import these — you keep them as your suppression evidence.

What the export does NOT include

Per Mailchimp's own export-and-backup page: the full backup excludes landing pages, website content, and ads — screenshot or archive those separately. Automations aren't covered by the backup either (a recent vendor comparison confirms automations and journeys are not in the export), and signup forms are tied to audiences rather than exported cleanly — treat both as rebuild work and document them before you cancel.

Before you import anywhere — screen the list first

A migrated list is an older list by the time it sends again. Run it through the pre-send screen: the full offline pipeline (syntax, disposable, role, duplicate, suppression) with segments in the five categories (deliverable / risky / catch-all / disposable / invalid). Mailbox-level SMTP probing is not part of a standard pre-send screen — we don't sell stages we haven't built. Sender auth gets "checked against public DNS records" — never a "verified" claim.

Done-for-you option: a ListProof pre-send audit covers the same export-first flow — your exported list screened through the full offline pipeline with a stated bounce-rate prediction for your first send, plus your sender setup checked against public DNS records. Weak promise only: we re-run the analysis free, within 30 days of receiving the findings. Manual invoice; current pricing on request.

Free rung: the export checklist

Download the checklist version of this page, run the export tonight, and keep the ZIP somewhere you control. A list you can fully export is a list no platform can take from you.
